Clinic Software for Kumasi Teams

A Kumasi clinic needs a workable rollout as much as a feature list. Use a supervised demonstration to test reception, nursing, consultation and dispensing with the people who will use each step.

Test a complete shift before switching

Use synthetic patient details in a demonstration. Check how staff find a returning patient, pass a queued visit to the nurse and clinician, and hand a prescription to pharmacy. Confirm each staff member sees only their authorized facility work.

Plan for power and connectivity interruptions

Choose a local downtime lead, keep backup power for the network equipment and agree a paper fallback and reconciliation process. Do not assume a loaded browser page can save new consultations without a connection.

Budget for training and usage

List the staff and devices for each shift. Estimate encounters, dispensing events and referrals separately, then request a written GHS quote. The pricing guide shows an illustration, not a published tariff.

NHIS claims

Facility staff prepare claims from recorded visits of patients with an NHIS membership number. Lines are priced only from the official tariff list your facility imports (no tariffs are built in), a facility manager other than the preparer approves, and approved claims download as a preparation file. You submit through your approved NHIA channel and record the submission, rejection or reimbursement reference, with a full audit trail. Health Grid does not send claims to NHIA.

DHIMS2 reporting

Health Grid builds monthly OPD attendance (new/returning, sex, age bands) and diagnosis counts from your own visits, flags data-quality gaps, and needs a manager's review. Once your facility enters its official DHIMS2 organisation unit and data element codes, it exports a DHIS2 dataValueSet (JSON or CSV). Direct push with a dry run is available only after your facility's approved DHIMS2 account is configured on the server.

Working offline

On a facility-controlled device, staff can turn on encrypted offline storage after signing in online. Without a connection they can register patients, add them to the queue, record vitals for an open visit and keep consultation drafts; these sync automatically once back online, with duplicate-patient review. Dispensing, stock changes, billing and referrals still need a live connection. Keep an approved paper downtime process.

Wallet top-ups and setup fees

Institutions use a prepaid wallet with plan-specific encounter, dispense and referral fees. An administrator records credit for payments received. Online Paystack checkout is built but switched off until a payment account is connected; balances will only change after the provider confirms payment to our server. A one-time setup fee is invoiced from the facility's plan and paid separately; it never adds wallet balance, and paying it online uses the same switched-off Paystack checkout.
